IKO Travel is a trading name of Ikopia Productions, a sole proprietorship ("Ikopia Productions," "IKO," "we," "us"). IKO Travel respects your privacy. This policy explains what personal information we collect, why, and how we handle it.1. Information We Collect

  • Contact details: name, email, phone/WhatsApp number

  • Trip information: destinations of interest, travel dates, budget, group size, dietary/mobility/medical needs relevant to planning, and any existing itinerary you share with us for review

  • Payment information: processed by our third-party payment provider we do not store your full card details ourselves

  • Website usage data: via standard analytics tools (e.g. page visits, general location, device type)

2. How We Use Your Information

We use your information to:

  • Plan, build, and deliver your travel itinerary or review

  • Communicate with you before, during, and after your trip

  • Improve our internal planning tools and recommendations, including using anonymized or aggregated trip data to build better future itineraries

  • Send you marketing communications, where you've opted in (see Section 5)

  • Meet legal and accounting obligations

3. Sensitive Information

If you share medical, dietary, or mobility information with us to help plan your trip, we treat this as sensitive information, use it only for trip planning purposes relevant to your booking, and do not share it beyond what's necessary to arrange your trip (e.g. informing a hotel of an accessibility requirement).

4. Who We Share Information With

We may share your information with:

  • Third-party service providers directly involved in your trip (hotels, activity operators, airlines) only where necessary to arrange bookings on your behalf (Concierge Travel), and only the details relevant to that booking

  • Our payment processor, to handle transactions

  • Email/CRM tools we use to manage client communication

  • Legal or regulatory authorities, where required by law

We do not sell your personal information to third parties.

5. Marketing Communications

If you opt in, we may send you travel inspiration, offers, or updates via email or WhatsApp. You can unsubscribe at any time via the link in our emails or by messaging us directly.

6. International Clients

We work with clients based in South Africa, the UK, the EU, the US, and elsewhere. By using our Services, you consent to your information being processed in the country where IKO operates, which may be outside your own country of residence.

7. Data Retention

We retain your trip information for as long as necessary to provide our Services and for a reasonable period afterward (e.g. to assist with future trips or respond to queries), unless you ask us to delete it sooner.

8. Your Rights

Depending on where you live, you may have rights to access, correct, or request deletion of your personal information (for example, under South Africa's POPIA, the UK/EU GDPR, or similar laws). To exercise these rights, contact us at ilke@ikotravel.com.

We take reasonable steps to protect your information, but no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
